How to Prepare a Bulk Shipment From China for a Product Launch

Short answer: separate the launch into five checkpoints: supplier readiness, China-warehouse receiving, paid quality inspection where needed, final packed measurements and customs data, then route selection. Do not plan from an international-transit estimate alone. A carrier ETA starts after handover and does not include supplier processing, domestic China transport or warehouse work.

Step 1: create the Bulk Ship purchase order correctly

In My Products & Pack → Bulk Ship Inventory, select Buy for Bulk Ship. Choose the path that matches who pays the supplier:

• ZQ Pays Supplier: ZQ creates and pays the supplier purchase order.
• I Already Paid: use this when you bought the goods yourself and only need ZQ to receive, consolidate, inspect, pack or ship them. Register the inbound package so the warehouse can match it to your account.

If several suppliers are involved, register every expected inbound shipment. A launch batch cannot be packed accurately while unregistered or unidentified parcels are still arriving.

Step 2: plan the full timeline, not just the carrier ETA

For ordinary in-stock 1688 products, suppliers commonly dispatch in 24–48 hours; a weekend can add about one day. Domestic transport to Shenzhen commonly takes 3–5 days, although nearby Pearl River Delta shipments may arrive the same day or next day. Oversized goods, batteries, magnetic goods and other restricted cargo can take longer because the available domestic transport is different. Customized or made-to-order products need their own supplier-confirmed production schedule.

ZQ checks purchase progress after an order is placed. If a supplier has not dispatched or is unresponsive, the purchasing team can contact the supplier and may propose another source, but a replacement should not be treated as an automatic promise of the original delivery date.

After arrival, a parcel delivered before noon can normally be received and prepared the same working day outside peak periods when it needs no complex inspection or custom packaging. Whether the international carrier collects it that day depends on that route's pickup cutoff. Afternoon arrivals may be received the same day but miss carrier collection.

Important: the ETA shown by a shipping route is international transit after carrier acceptance. It does not include the earlier supplier, domestic-transport and warehouse stages.

Step 3: use QC according to supplier and product risk

The free receiving check is a quick visible confirmation that the ordered item or variant, color and size label appear correct and that there is no obvious external damage. It is not a detailed inspection and does not include photos or functional testing.

For a first order from an unfamiliar supplier, a high-value item or a product where small defects affect the customer experience, select paid QC by SKU:

The fee is per selected SKU on the purchase order, not per unit. For example, Basic QC on three selected SKUs costs $1.50 even if each SKU contains ten units. Sealed or shrink-wrapped packaging is opened only when the customer explicitly authorizes it as part of paid QC.

If ZQ finds an issue, the shipment is handled according to the customer's saved rule. Without a saved rule, the team pauses the next step and contacts the customer. Returns and exchanges still depend on the source marketplace and supplier's after-sales rules. QC photos can be viewed in the relevant Purchase List entry and in Dropship Orders when an order record exists.

Step 4: wait for actual packing data before choosing freight

International freight is quoted from the packed shipment, not the supplier's product-page estimate. ZQ records the final gross weight and carton dimensions after consolidation and packing. Chargeable weight can be based on actual or volumetric weight, depending on the route.

Bulk Ship customers maintain the customs fields for their products:

• customs product name or category;
• declared value in USD;
• HS code.

The system uses the maintained data to generate the principal shipping files labelled CI, PI and CL for download. A certificate of origin can be purchased separately for $20 per certificate. ZQ is not a customs broker or automatically the Importer of Record; clearance, tax handling and DDP availability depend on the selected logistics route and the buyer's setup.

Step 5: select the route after the shipment is ready

Air is usually considered when timing is the main constraint; sea is considered when the shipment can trade more time for a different cost structure. Rail may also be available for suitable China-to-Europe cargo. None is automatically best for every launch. Product type, packed weight and volume, destination, customs arrangement and current route availability all affect the quote.

For inventory going to ZQ's Delft warehouse, China-to-Netherlands headhaul can use sea, air or rail subject to the shipment and chosen route. Once stock is in Delft, ZQ can fulfill orders across the supported European last-mile network. This can suit a seller who wants a modest launch batch near European customers instead of sending each order individually from China.

A safer launch strategy when demand is uncertain

Do not assume that a larger batch is automatically cheaper overall. A launch plan should balance stockout risk against unsold-inventory risk. A practical sequence is:

1. validate the product and supplier with a sample, a paid QC order or a small dropship test;
2. create a modest Bulk Ship batch based on the evidence you have, not a speculative sales forecast;
3. consolidate and inspect the batch before international dispatch;
4. place inventory near the target market only when the expected order pattern justifies it;
5. define a replenishment trigger before the launch begins.

A split shipment can be discussed when part of the stock is urgent and the remainder can use another route. Whether that split is economical depends on the actual packed data and available quotes, so it should be priced as a real scenario rather than treated as a universal launch rule.

Product-launch checklist

Before authorizing international shipment, confirm all of the following:

• every supplier parcel expected for this batch is received or intentionally excluded;
• product variants and quantities match the purchase records;
• QC has been completed for the SKUs that require it;
• exceptions have a written next action;
• sealed packaging was opened only where authorized;
• destination intake, labelling and carton requirements are confirmed;
• customs product name, declared value and HS code are maintained;
• CI, PI and CL have been reviewed;
• the freight decision uses final packed measurements;
• the launch plan includes supplier, domestic, warehouse and international stages—not only carrier ETA.

Frequently asked questions

Can I send products I bought myself to ZQ?

Yes. Create a Bulk Ship purchase order and choose I Already Paid. Register the inbound package before the supplier sends it so the warehouse can identify and receive it.

Should every product-launch order use paid QC?

Not necessarily. Paid QC is strongly recommended for an unfamiliar supplier, high-value goods or products where appearance and function are important. For a proven supplier and a low-value, stable product, it may not be necessary on every replenishment.

Does the shipping calculator ETA include the supplier's lead time?

No. It represents the quoted international transit stage after the carrier receives the shipment. Supplier processing, China domestic transport and warehouse operations are separate stages.

Can ZQ ship a launch batch to Amazon FBA or another 3PL?

ZQ can prepare a Bulk Ship order for the stated receiving destination, but the seller must provide the current intake, labelling and appointment requirements that apply to that destination. Confirm those requirements before packing is finalized.

Is sea freight always the cheapest option?

No. The answer depends on the shipment's packed weight and volume, destination, route minimums and current quote. Compare the complete available quotes for the actual shipment.
